How InvoicePath collects, uses, stores and protects personal data — including data accessed from services you connect, such as Intuit QuickBooks Online.

1. Who we are
InvoicePath ("we", "us") is an accounts payable and receivable automation service operated by Panoptic IT Solutions, Ireland. For the personal data of your business contacts that we process on your behalf, you are the data controller and we act as your data processor. For account and website data, we are the controller.
2. What we collect
- Account data — name, work email, company, and login details of the people who use InvoicePath.
- Invoice & document data — the invoices and supporting documents you send us, and the data extracted from them (suppliers, customers, line items, amounts, tax, dates).
- Connected-service data — data we access from systems you connect (e.g. accounting software, email, file storage) to provide the service.
- Usage & technical data — logs, device/browser information and basic analytics needed to run and secure the service.
3. How we use it
We use this data only to provide and improve the InvoicePath service: capturing and reading invoices, posting and reconciling entries in your accounting software, routing approvals, supporting you, securing the platform, and meeting our legal obligations. We do not sell your data or use it for third-party advertising.
4. Intuit / QuickBooks Online data
When you connect QuickBooks Online, you authorise the connection through Intuit's secure sign-in (OAuth). We never receive or store your Intuit password.
- What we access: your chart of accounts, tax codes and supplier/customer records (to map and match invoices correctly), and the ability to create and update bills and invoices.
- How we use it: solely to provide the invoicing service to you — posting entries, matching contacts, attaching documents and keeping records in sync.
- Storage: QuickBooks data is encrypted in transit and at rest, and access is limited to the systems and personnel that operate the integration.
- Sharing: we do not sell QuickBooks data or share it for advertising or any purpose unrelated to providing the service.
- Your control: you can disconnect at any time from QuickBooks or from InvoicePath. On disconnection or request, associated QuickBooks data is deleted, subject to legal retention requirements.
Our use of information received from Intuit APIs adheres to the Intuit Developer terms, including any limited-use requirements.
5. Sharing & sub-processors
We share data only with vetted sub-processors who help us run the service (e.g. cloud hosting, AI extraction, email delivery), under contracts that require appropriate protection. A current list of sub-processors is available on request. We may also disclose data where required by law.
6. Retention & deletion
We keep data for as long as your account is active or as needed to provide the service, then delete or anonymise it within a defined period, except where we must retain it to meet legal obligations. You can request deletion at any time.
